The University of Washington Division of the Attorney General’s Office currently has an outstanding opportunity for an Administrator.

The Washington State Attorney General's Office (AGO) provides excellent, independent, and ethical legal services to the State of Washington and protects the rights of its people. The AGO's attorneys and professional staff in 31 divisions and units located in 12 cities across the state provide legal services to more than 230 state agencies, boards and commissions, and colleges and universities as well as the Legislature and the Governor. In furtherance of its mission to deliver the highest quality professional legal services to officials, agencies, and the people of the state of Washington, the AGO covers a remarkably diverse legal landscape, including social and health services, consumer protection, civil and administrative litigation, environmental law, torts, tribal law, labor law, appellate practice, criminal prosecution, and education law.

The University of Washington Division Overview

The University of Washington Division (Division) of the AGO provides comprehensive legal services to the UW, which operates three campuses (Seattle, Tacoma, and Bothell) and a world-class academic medical center. The UW enrolls more than 54,000 undergraduate, graduate, and professional students, employs over 30,000 faculty and staff, and is ranked among the best higher education research institutions in the country. The Division’s office is located in the UniversityDistrict in Seattle.

The Division comprises 20 AGO attorneys (who are organized into three teams) and 12 UW support personnel (including 4 legal assistants/secretaries, 3 paralegals, a fiscal budget specialist, a computer support analyst, an office support supervisor, and an office assistant). The Division provides legal advice and representation across a wide variety of specialized areas related to theUW’s broad array of operations and activities, including healthcare, employment law, labor relations,student affairs, real estate, business law, intercollegiate athletics, public finance, bonds, intellectual property, tax, benefits, gifts and trusts, and constitutional law. The Division’s mission includesproviding legal advice and representation that meet the highest professional standards.

RESPONSIBILITIES:

The Administrator supports and contributes to the mission and strategic plan of the Division by providing administrative and professional direction and support and by ensuring the highest standards of ethics, excellence and effectiveness amongst the support personnel. The Administrator manages all administrative functions of the Division, including its overall daily operations. The position has latitude and discretion for making decisions and applying judgment guided by AGO and division policies, procedures, and guidelines.

The Administrator’s areas of responsibilities include:
• Operations Management (e.g. overseeing day-to-day operations, assessing need for resources, employing processes regarding records management and public records, monitoring the budget)
• Human Resources (e.g. overseeing workload, organizational changes, recruitment, hiring, and firing; deploying resources; conducting evaluations; working with AGO and UW HR; effectively addressing complex and sensitive administrative issues; working with HR/payroll systems)
• Facilities Management (e.g. ensuring health, safety and emergency protocols are implemented andfollowed; overseeing the effective and efficient use of facility resources; work with building management regarding repairs or deficiencies; and manage office moves and space assignments)

The Administrator reports to the Division Chief and participates as a member of the Division’smanagement team, which also includes three attorney team leaders. The management team playsa critical role in the Division’s daily operations as well as the development and implementation of its long-term strategic plans and goals.

The Administrator is responsible for the direct supervision of all support personnel except two paralegals who are supervised by another paralegal.

The Administrator also assures that administrative policies and practices within the Division meet all requirements of UW and AGO policies and guidelines. Additionally, the Administrator will develop and implement systems and policies as necessary.

REQUIREMENTS:

The strongest candidates will possess a Bachelor’s degree in business administration or an alliedfield and three years of experience supervising, leading, mentoring, coaching or training staff in a legal or judicial setting; OR A combination of seven years of legal office experience and three years of supervising, leading, mentoring, coaching or training staff in a legal or judicial setting.

DESIRED QUALIFICATIONS:

• Significant experience in law office management

• Significant experience in some, if not all of the areas described above (human resources, operations management, and facilities management)
• Excellent supervisory, management, and leadership skills
• Strong interpersonal and communication skills (written and verbal)
• Effective team building and problem solving skills
• Experience with budget planning, monitoring, and implementation
• Experience with payroll/HR systems
• Knowledge of paralegal and legal assistant/secretary practices, policies and procedures • Experience in organizational development and/or strategic planning
• Familiarity with WA state and/or UW policies and procedures

DESIRED ABILITIES:

• Develop and implement long and short range plans
• Develop internal operating procedures
• Conduct effective meetings
• Organize, prioritize and manage a large number of projects and diversified work groups • Work independently

• Effectively use Microsoft Office suite applications, case management systems, and databases • Quickly learn new areas or subject matters
• Appropriately handle and maintain confidential or sensitive information

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
